Activity | Work done with or on behalf of a client or their case. There are three Activity Types: o Anonymous Activity - activity only associated with an anonymous case. Is considered an indirect time activity even if there is face-to-face contact with a person. o Client Activity - Activities done with the client, either in person or over the telephone. Client activities will have a direct and indirect time component. o Case Activity - Activities conducted on behalf of a client. Case activities have no direct time component. For each activity type there are activity sub-types which further define the work done. |
Activity Status | Activity statuses are: o Opened – scheduled o Completed – executed o No Action Required – cancelled o No Show – no show. |
Agency | An organisation that provides Gambler’s Help services. Agencies are registered in Gambler’s Help Connect in a hierarchy of main, or parent office and associated service outlets. The exception to this is the Gambler’s Helpline which has no subsidiary service outlets. |
Anonymous client | A person who receives Gambler’s Help service but who is not given consent for their identifiable data to be recorded ion the system. They might consent at a later date or they might have all their requirements met in a single contact. Activity with an anonymous client is recorded in an anonymous case. The anonymous client is distinct from the pseudonymous client who has a formal engagement with an agency but does not want their identity recorded in Gambler’s Help Connect. |
Case | A case represents a defined program of work done by an agency worker or workers. Cases can be: o Client cases – where a Gambler’s Help agency engages with an individual, family or group to address problems arising from gambling. o Non-client cases – where a Gambler’s Help agency engages with a gaming venue, sporting club, school, community organisation or the community in general to address issues around responsible gambling. Client case types are: o Anonymous o Callback o Therapeutic Counselling o Financial Counselling o Couples / Families o Groups o RAP o Practitioner. Non-client case types are: o Venue support o Community education o Integrated services. Note: See Client and case records for a detailed explanation. |
Assignee | The primary care provider in a case. |
Audit Log | Gambler’s Help Connect maintains an exhaustive log of all system activity. The audit log records what data and when is viewed, added or edited, and by whom. |
Case Reference Number | A number allocated when a case is created. It is a unique number with a prefix of: o CA (therapeutic / financial counselling, callback, practitioner or anonymous case) o GR (group case) o RA (RAP case) o VE (venue support case) o IS (integrated service) o CE (community education). |

Client | A person who receives Gambler’s Help service. |
Client Outcome Survey (COS) | The Client Outcome Survey (COS) is an assessment completed by a client. It describes the gambling behaviour effecting them, their perception of the intensity of the problems and the degree of psychological/emotional distress they experience. The COS has three iterations: o C1 - at the first appointment with a therapeutic or financial counsellor o C2 – three months after the start of the case o C3 – three months after the C2. The C2 and C3 iterations are conducted by the Gambler’s Helpline. The COS forms part of the client record. |
Co-Presenting Issues | Issues that a client presents with, such as depression or family breakdown. Issues form part of the case record. |
Direct Time | Direct time covers work done with a client in person or over the telephone. |
Filter | Used in any of the search functions. Allows narrowing of the search results by indicating one or more fields of content. |
Indirect Time | Indirect time covers work done on behalf of a client such as writing up case notes, speaking to a bank manager or other administrative activities related to the case. Anonymous activity time is indirect time. |
Linked Case | Function that links a new case with an existing or closed case. For example, a client presents for financial counselling and after a time is referred by their financial counsellor to a therapeutic counsellor. You can also create a linked case from a closed case where the client has re-presented. |
Match All | Match All in a search function means matching all filters you have selected for your search. For example if you have selected three search criteria, your search results must contain ALL three values to be included in the result. |
Match Any | Match Any in a search function means matching any of the filters you have selected in your search criteria. Your search may locate only one or all your search criteria. |
Navigation Menu | The Navigation Menu is the panel down the left hand side of the screen. Depending on your user permissions, you will see different sections – Management, Operations, Search, Reporting and Administration. The main two sections accessed by users of the Gambler’s Help Connect system are Operations and Search. Within these two sections you can do most of the functions you will need as part of your job role. |
Notification Panel | The Notification Panel is the panel across the top of the screen. This area highlights who is logged in, how to change your password, logging out and reminders. |
Practitioner | A GHS Practitioner undertakes client work through the In-language or Aboriginal Gambler's Help services. Specialist capabilities for a Practitioner are cultural knowledge and networks within the community in which they work, understanding of gambling related harms, and extensive experience and/or qualifications in community development work or similar. |
Primary Care Provider | The counsellor or financial counsellor managing the case. |
Primary Issue | A notes field in Gambler’s Help Connect that allows for a summary of the client presentation. |
Pseudonymous client | Some clients desire an engagement with the Gambler’s Help service but do not consent to have their identity recorded in Gambler’s Help Connect. It is acceptable to create a client record for them under a pseudonym as long as the recording agency maintains an accessible record of their actual identity outside the system and applies a pseudonym tag to the client record. |
Received by | Mode in which client came into service. For example, telephone, email or Gambler’s Helpline |
Secondary Care Provider | Used to record a second care provider in a case. |
Staff time | Time worked on non-client cases. |
Stage | Denotes the status of a case. Gambler’s Help Connect marks each case stage with an icon. Stages for client cases are: o o o o o o o In addition, group cases have the status of Note: See Case Stages for more information on this subject. The statuses of non-client cases are also denoted by stages. For venue support and community education cases these are: o In-progress o Complete. For integrated service cases the stages are: o Plan complete o Plan endorsed o 6 month review complete o 6 month review endorsed o 12 month review complete o 12 month review endorsed o Closed. |
Tag | An alert attached to the client record – distinct from an Issue which is attached to the case record. |
UR Number | Unique Record Number – allocated to a client when they are registered in Gambler’s Help Connect. |
User ID | Your user ID is associated with your user account in the system. It records your activities in audit logs and manages your system access. |
